Generate Your First Report

Once an inspection is marked complete, the Report Workspace in the web admin is where you review, refine, and publish the final report — and deliver it to your clients.

Opening the Report Workspace

  1. In the web admin, navigate to Orders → open the order → click the inspection.
  2. Click Report Workspace (or navigate directly via Inspections → [Inspection] → Report).

Report Workspace Overview

The Report Workspace is organized into tabs:

Reviewing Findings

In the Findings tab, all captured deficiencies are listed by section and subsection. For each finding you can:
  • Edit the caption — update the short title
  • Edit the narrative — open the rich text editor for full formatting
  • Move — reassign a finding to a different section or subsection
  • Flag for Summary — mark the finding to appear in the executive summary
  • Delete — remove a finding from the report

AI Draft Narratives

If your inspectors used the mobile app’s Field Note feature (a brief on-site observation note), the AI Draft tool can batch-generate full CAR narratives from those field notes.
  1. Go to the AI Draft tab.
  2. Click Draft All to generate narratives for every finding that has a field note but no narrative.
  3. Review each generated narrative — approve or edit as needed.
  4. Narratives with only a caption (no field note) are excluded from batch drafting; write these manually.
Cost: 4 IT tokens per drafted finding.

The Executive Summary

The Summary tab contains the executive summary that appears on the first content pages of the PDF report.

Summary Sections

  • System Performance Opinion (SPO): Auto-generated paragraph evaluating the overall condition of major systems (Structural, Electrical, Plumbing, HVAC, Roofing). The SPO synthesizes your deficiency ratings across all subsections of each system.
  • Summary Deficiencies: The findings you flagged as “summary items” in the Findings tab appear here as a concise list.
  • Inspector Observations: Optional free-text area for overall property impressions.
  • Additional Information / Preamble: Configurable standard language (limitation of liability, standards disclosure, scope of inspection).

Skipping the Preamble

If the client has already received the preamble language in the pre-inspection agreement, you can toggle Skip Additional Info to omit the preamble from this report.

Generating a PDF Preview

  1. Go to the Preview tab.
  2. Click Generate Preview.
  3. The PDF opens in a new browser tab — review it for layout, branding, page breaks, and content.
The preview is not stored permanently. Click Generate Preview again after making edits to refresh it.

Cover Photo

The cover page of the report displays a property photo.
  • On mobile: the inspector can designate any captured photo as the cover photo from the Review screen.
  • On web: you can upload a cover photo directly from the Report Workspace (drag-and-drop the image onto the cover photo placeholder in the Preview tab).

Publishing the Report

When the report is ready:
  1. Go to the Publish tab.
  2. Click Publish Report.
  3. The system:
    • Generates the final signed PDF
    • Uploads it to Google Cloud Storage
    • Sets reportStatus = 'published' on the inspection record
    • Fires the report.published workflow event
The report.published event triggers your configured email delivery workflow — sending the full report to the client and (if configured) a separate agent-facing summary to the buyer’s agent.

Report Delivery

Report emails are sent according to your Communications Workflow settings:

Delivery addresses and email templates are configured in Settings → Communications → Workflow.

The Realtor Portal

After publishing, the buyer’s agent receives a magic link to the Realtor Portal — a read-only, branded web page showing the inspection summary findings. The portal does not require the agent to create an account. The portal link is valid for 90 days after report publication.
